How to set up email notifications for new leads and automatic valuation emails.

fluss.ai can automatically send emails when new leads come in - to you and to the lead.
Types of Email Notifications
1. Notification to you (Agent)
You receive an email as soon as a new lead comes in:
- Lead contact details
- Property data
- Link to the lead in fluss.ai
2. Valuation Email to the Lead
The lead automatically receives their property valuation:
- Personalized email
- PDF valuation as attachment
- Your branding and contact details
The automatic valuation email is available from the Basic plan onwards.
Setup
Change email address
Notifications go to your account email. To use a different address:
- Account Settings → Profile
- Update email address
Or: Set up a webhook that forwards to any address.
Troubleshooting
Emails not arriving
Check these points:

Automation active?
- Flow Settings → Automations
- Is the toggle enabled?

Check spam folder
- Check emails from
noreply@fluss.ai - Mark as "Not spam"
- Check emails from

Email address correct?
- Check account settings
- Rule out typos

Lead complete?
- Email is only sent with valid lead email
Email to wrong recipient
Check the recipient setting in automations. You can set up separate automations for:
- You (agent)
- The lead
- Other recipients (via webhook)
Customize Email Templates
Customize text
- Automations → Edit email
- Edit subject and content
- Use placeholders, e.g.:
{{lead.firstName}}- Lead's first name{{lead.email}}- Lead's email{{lead.address}}- Property address{{lead.price}}- Valuation price
Customize PDF template
The valuation PDF is fully editable in Word:
- Download template (Account → Templates)
- Edit in Word/OpenOffice
- Customize logo, colors, text
- Upload again
Advanced Options
Multiple recipients
For multiple recipients, use Webhooks or n8n:
- Automations → Add webhook
- Enter webhook URL of your email service
- Lead data is sent when a new lead arrives
Conditional emails
With n8n you can add conditional logic:
- Different emails based on property type
- Emails only for certain postal code areas
- Follow-up emails after X days
SMS instead of email
SMS notifications are also available from the Basic plan. Activation in automations.
Custom Email Address (SMTP)
With the Pro plan, you can send emails from your own domain instead of noreply@fluss.ai.
Benefits
- Emails come from your own address (e.g.,
info@your-company.com) - Better deliverability and trust
- Consistent branding
Setup
- Go to Account → Email Settings
- Enter your SMTP details:
- User: Your SMTP username (often the email address)
- Password: Your SMTP password or app password
- Host: The SMTP server (e.g.,
smtp.gmail.com) - Port: Usually
465(SSL) or587(TLS)
- Sender Address (optional): Only needed if your username is not an email address
- Click "Test Connection"
- Save
With Gmail and other providers, you often need to create an App Password, not use your regular password.
